Field sales has a reporting problem. Key account managers visit customers all day, then face the part nobody likes: writing it all up in the CRM. In practice that means visit reports filed days late, three lines long, or not at all, and pipeline reviews built on memory instead of data.
Why visit reports go unfiled
Reports get written at a desk, hours or days after the visit, when the details are already fading. Preparation suffers the same way: before a meeting, reps click through activity history, contacts and open deals to remember where things stand. Both jobs are mostly about moving information in and out of Salesforce, which is where AI can take some of the work.
This article describes what AI Engine does today around a customer visit. To be clear up front: AI Engine does not include a dedicated visit report object. What it offers are building blocks that help before, during and after the visit.
Voice input: talk instead of typing
The Sales Agent chat has a microphone next to the question box. A rep clicks it, speaks, and the recognised text appears in the box and is sent when they stop talking. Right before or after a visit that makes it quick to ask things like "which open opportunities does this account have?" without typing on a keyboard.
Magic Snap, AI Engine's tool for turning a photo of a business card or a company sign into a Lead or an Account and Contact, has its own microphone for dictating a note about the conversation, for example "met at the plant, purchasing manager, wants a quote in Q3". Magic Snap writes a summary of the note with a suggested next step into the new record's description, creates a follow-up task and attaches the photo as a Salesforce File. It works on a phone, including in the Salesforce mobile app when your admin adds it as a tab to the mobile navigation. See Create Leads and Accounts with Magic Snap and our post on the business card scanner for Salesforce.
A few things to know about voice: speech recognition is done by the browser, so it works in browsers such as Chrome and Edge, the browser picks the recognition language (usually the language of the Salesforce page), and depending on the browser the audio may be processed by the browser maker's online service. See Voice input, dark mode and Help mode.
Before the visit: a meeting brief in one click
📅 Meet Prep in the Sales Agent builds a one-page meeting brief from the record you are visiting: the meeting objective, a company snapshot, key contacts, open opportunities, talking points, risks and objections, a proposed agenda and a summary of recent activity. If your admin turned on web search for Meet Prep, it also adds recent company news. The brief can be downloaded as a PDF, which is saved to Salesforce Files on the record. The more activity is logged against the record, the more specific the brief. More in AI meeting prep in Salesforce.
After the visit: next steps and tasks
Once the visit is logged on the record, ▶ Next Steps reads the record and its recent activity and proposes what to do next, most important first, each step with the reason and a suggested timing. + Task on a step creates a normal Salesforce task assigned to the rep, with a due date worked out from the timing. Nothing is created until the rep clicks. See Get next steps and create tasks.
Your report format as a prompt template
If your reps keep visit notes on the record, for example in a description or notes field, an admin can create a prompt template that reads the record and turns those notes into a structured summary in your company's format: what was discussed, open questions, agreed follow-ups. The template appears as a one-click entry in the Sales Agent's ◈ Actions menu on the objects you choose, and it sees the fields and related records your admin enabled for AI Engine. See Create prompt templates.
Action results, including Meet Prep, Next Steps and prompt templates, follow the language selector (English, Polish, German, French or Dutch). Chat answers come back in the language of the question.
Why this belongs inside Salesforce, not a notes app
Dictating into a phone notes app or an external AI tool creates the same old problem: the data isn't in the CRM, isn't linked to the Account, and isn't visible to the team. Running AI natively in Salesforce means the tasks, descriptions and files it creates are real records, reportable and searchable, and it respects your users' permissions and sharing. The AI connects through your own OpenAI, Claude or Azure OpenAI account via Named Credentials, and by default personal data such as email addresses and phone numbers is masked before the request reaches the model. See our post on PII masking for Salesforce AI.
What about a full visit report object?
A dedicated, structured visit report, with its own object and with discussion topics and tasks as related records, is not a built-in AI Engine feature. For teams that need one, Cloud Connected can build it as a custom implementation on top of AI Engine.
What it takes to set up
AI Engine installs as a managed package. An admin connects your AI provider, assigns permission sets and adds the Sales Agent and Magic Snap components to the pages your reps use; Meet Prep, Next Steps and prompt templates then work on the objects enabled for AI Engine. If your field team's reports are the weak link in your pipeline data, see how the Salesforce AI assistant fits your process.
