These Terms of Service ("Terms") govern the installation and use of AI Engine ("the Application"), a Salesforce managed package provided by Cloud Connected, the company identified above ("Cloud Connected", "we", "us"). By installing, configuring or using AI Engine, the organisation on whose behalf you act ("Customer", "you") agrees to these Terms. AI Engine is offered to businesses only.
1.The Application#
AI Engine is a Salesforce managed package that provides AI-assisted features inside Salesforce, including questions about CRM data in plain language, record actions, meeting briefs, email drafts and analysis, Lead and Opportunity scoring, PDF documents and Magic Snap.
It connects to the AI provider chosen by the Customer (OpenAI, Anthropic or Microsoft Azure OpenAI) through Salesforce Named Credentials configured by the Customer. Features that search the web, such as Web Check and Company News, use the provider's web-search tool; with Azure OpenAI they need a separate OpenAI connection. AI Engine runs in Lightning Experience on editions that can install managed packages with Apex, such as Enterprise, Unlimited and Developer Edition; for other editions, including Professional Edition, contact us before installing. Features, requirements and limits are described in the AI Engine Help Center.
AI Engine creates or changes business records only when a user clicks to do so (for example sending an email, creating a task, saving a PDF or saving a Magic Snap record). The only automatic change to business records is to the AI score fields on Lead and Opportunity records (score, label, reason and scoring date), when an administrator turns scoring on. Everything else the Application writes on its own goes to its own objects: its activity log, its licence record and a short-lived cache of the queries behind chat answers.
2.Customer responsibilities#
AI provider account and keys#
The Customer needs its own account with an AI provider and is responsible for obtaining and maintaining it, for keeping its API keys in Salesforce Named Credentials / External Credentials in its own org, for complying with the provider's terms and data processing agreements, and for all fees charged by the provider. Cloud Connected does not supply, manage or receive the Customer's API keys.
Data sent to the AI provider#
When users use AI features, the data a feature needs (for example the question, record fields and query results the administrator has enabled) is sent from the Customer's Salesforce org directly to the Customer's AI provider. The Customer is responsible for deciding which objects and fields are enabled, for its masking settings, and for the lawfulness of that processing, including under the GDPR.
By default, unless an administrator allows personal data to be sent, contact details are masked before a request leaves Salesforce:
- email and phone fields, and compound address fields (the separate street, city, postal code and country fields are masked only if the administrator marks them as personal data);
- the fields the administrator marks as personal data;
- email addresses, IBANs, US Social Security numbers and payment card numbers found in text.
Other data in the enabled fields, such as people's names and address parts such as street and city, and photos sent with Magic Snap are sent as they are. See PII masking in the Help Center.
Configuration and use#
The Customer is responsible for configuring the Application, assigning its permission sets only to authorised users, keeping its Salesforce sharing rules and field-level security appropriate, and training users. The Customer will not use the Application to break the law, to circumvent Salesforce security controls, to create unlawful or harmful content, or in breach of Salesforce's terms. Users should check AI-generated content before relying on it.
3.Data#
What stays in the Customer's org#
AI Engine stores the following in the Customer's Salesforce org:
- Configuration: the settings administrators save.
- Activity log: usage metadata for each AI action (such as the feature, user, object and record, model, token counts, estimated cost, duration and status), plus a short error message of up to 500 characters when a call fails. That message can quote part of the request.
- Query cache: the database query AI Engine generated for a chat answer, so that the user who asked can reload or export the results for four hours. Expired entries are deleted the next time the same user asks a question, so an entry can remain in the org after it expires. The query can contain values from the question.
- AI scores: the score, label, reason and scoring date on scored Lead and Opportunity records.
- Licence record: the trial or licence status of the org.
The full text of prompts and answers is not stored. The only AI-written text saved automatically is the reason on a scored record; anything else is saved only when a user chooses to save it. Apart from removing expired query-cache entries as described above, AI Engine deletes nothing automatically, so retention is under the Customer's control.
What Cloud Connected receives#
Cloud Connected does not receive the Customer's CRM data, prompts, AI answers or API keys, and is not notified when AI Engine is installed. It receives only what the Customer sends it:
- when someone uses the Request a License form in AI Engine, Salesforce emails Cloud Connected the org name and org ID, that person's name and email address, the number of users and period requested, and any note typed into the form;
- whatever the Customer sends in orders, emails or support requests.
Our Privacy Policy explains how we process this personal data.
4.Third-party AI providers#
AI providers are independent third parties chosen by the Customer. Cloud Connected is not responsible for their availability, performance, pricing, changes to their services, how they process data sent to them, or the accuracy of the content their models generate.
5.Licence and intellectual property#
AI Engine, including its code, components and documentation, is the intellectual property of Cloud Connected and is licensed, not sold. During the trial or paid subscription the Customer receives a limited, non-exclusive, non-transferable licence to use AI Engine in its Salesforce org(s) covered by the licence.
The Customer may not reverse engineer, decompile, copy, modify, sublicense, sell or transfer the Application, or remove its proprietary notices, except where mandatory law allows it.
6.Trial, fees and payment#
AI Engine may be offered with a free trial, as described in the Help Center. After the trial, continued use requires a paid subscription. Fees, the number of users covered, the billing period and payment terms are those agreed in the Customer's order or quote. Fees paid are non-refundable except where required by law or agreed in writing. If a subscription ends, access continues until the end of the paid period.
7.Warranties#
AI Engine is provided "as is" and "as available". To the extent permitted by law, Cloud Connected gives no warranties, express or implied, including of merchantability, fitness for a particular purpose or non-infringement, and does not warrant that the Application will be error-free or uninterrupted, or that AI-generated content will be accurate or complete. The Customer is responsible for checking AI-generated content before acting on it.
8.Limitation of liability#
To the maximum extent permitted by law, Cloud Connected is not liable for lost profits, lost data, lost business or any indirect or consequential damage arising from the use of AI Engine, and its total liability is limited to the fees paid by the Customer to Cloud Connected in the twelve months before the claim. These limits do not apply to damage caused intentionally or where the law does not allow them.
9.Termination#
The Customer may stop using AI Engine at any time by uninstalling it and notifying Cloud Connected. Cloud Connected may suspend or end access if the Customer materially breaches these Terms or does not pay fees when due. When the licence ends, the Customer must stop using the Application.
Uninstalling removes the Application's objects and fields from the org, including the activity log and the AI score fields and their values, so the Customer should export anything it wants to keep first. When a trial or licence ends, AI features stop working; the Customer's data and configuration stay in its org.
10.Governing law and disputes#
These Terms are governed by the law of Poland. Any dispute arising from them will be resolved by the common court having jurisdiction over Cloud Connected's registered office, unless mandatory law provides otherwise.
11.Changes#
We may update these Terms. We will tell Customers about material changes by email to the administrator contact we have on file before they take effect. Continued use after that date means acceptance of the updated Terms.
12.Contact#
