Sales reps spend a large part of their day on email. Two jobs take the most time: writing a follow-up that is actually personal, and working out what a customer really meant in a long thread. Both depend on context that already sits in Salesforce: the last meeting, the open question, the deal stage.

AI Engine brings AI to both jobs directly on the record, with Draft Email and Analyze Email.

Draft a follow-up from the record's history

Open a Lead, Contact, Opportunity or Account and click ✉ Draft Email in the Sales Agent. With the built-in instructions, the AI:

  • Builds on the most recent interaction, such as a meeting, a call or an open question.
  • Uses your company's tone and value proposition from the playbook an admin writes once for the team.
  • Keeps it short, roughly 80 to 140 words, and ends with a clear next step and two suggested times to meet.
  • Only uses facts in the record. It is told not to invent numbers, dates or promises.

Admins can change the built-in instructions to match how the team writes. The draft is written in the language chosen in the Sales Agent, which helps teams that sell in several countries.

Send it without leaving Salesforce

Click ✉ Send Email under the draft. The send window opens with the subject and body filled in. On a Lead or Contact, the recipient is taken from the record; elsewhere you pick a contact, lead or user. Edit what you need and click Send. The email goes out through Salesforce, from your own user. When you send to a Lead or Contact with an email address, it is logged as an activity on that record.

Nothing is sent until you click Send. The AI proposes; the rep decides.

Analyze an email or a whole thread

The second job is reading. ✉ Analyze Email takes one or more emails, either logged in Salesforce or pasted in from outside, and returns an Email Analysis card with:

  • Sentiment: positive, neutral or negative, with a score out of 100 and a reason.
  • Urgency: low, medium or high.
  • ❓ Open Questions: what the sender asked and still expects an answer to.
  • ⚠️ Hidden Objections: concerns the sender implies without saying them directly.
  • ✅ Positive Signals: signs of interest or progress.
  • A recommended next action and a suggested reply.

Select several emails and they are analysed together as one thread. That is useful when you take over a colleague's deal, return from holiday, or need to decide the tone of a difficult answer. When the record is in context, the deal's history is included, so the suggested reply takes it into account.

Personal data in emails

Emails are full of personal data. When an admin leaves Allow PII off, which is the default, email addresses, IBANs, card numbers and social security numbers in the email text are replaced with placeholders before anything is sent to the AI provider, and put back in the result. Names and phone numbers written in the email text are sent as they are, so admins should know that when they write their data policy.

AI Engine does not store the full text of emails, prompts or answers. The activity log keeps usage metadata, plus a short error message when a call fails.

Tips from teams that use it

  • Log activities on the record. A draft is only as personal as the history behind it. With few activities, the draft stays generic.
  • Invest in the playbook. Ten sentences on your value proposition and tone improve every draft in the team.
  • Read before sending. The AI can misread a record's history. A quick check keeps customer trust.
  • Use analysis on the hard emails. It is most valuable on long threads and messages where the tone is unclear.

Summary

  • Draft Email writes a short, personalised follow-up from the record's history and your playbook, in the user's language.
  • Send Email sends it through Salesforce from the user, and logs it on Leads and Contacts.
  • Analyze Email finds sentiment, urgency, open questions and hidden objections, and suggests a reply.
  • Sensitive values are masked by default, and full email text is not stored.
