Monday morning, the first day back from holiday, or a colleague's accounts landing on your desk: the question is always the same. What happened while I was not looking, and what should I do first? Finding the answer usually means a lot of clicking through list views, activity timelines and opportunity histories.
A Salesforce activity summary with AI shortens that. With AI Engine, you ask the Sales Agent "what happened this week?" and get new and changed records across your main objects in one answer. From there you drill into accounts, turn AI next steps into tasks and check company news before you call.
Step 1: a Salesforce activity summary across your objects
The Activity Digest answers a general "what happened" question that does not name an object, such as "what happened this week?". You can ask about today, yesterday, this or last week, month, quarter or year, or the last N days. The agent returns a written summary and one section per object. Each section shows a new badge with the number of records created in the period and an updated badge with the number changed. Below that you see the most recent records, up to 10 per object, each marked NEW or UPDATED with a few key fields. Show all ↗ lists every record of that object changed in the period as a table.
| Situation | Question to ask |
|---|---|
| Monday morning | "What happened last week?" |
| Back from two weeks off | "What changed in the last 14 days?" |
| Start of a new quarter | "What changed last quarter?" |
| Quick daily check | "What happened yesterday?" |
The digest covers up to six objects. Your admin decides which ones and in which order in Agent Objects. It only includes objects and records you can see in Salesforce. See Activity Digest.
One detail matters: "updated" means changed by anyone, not only by you. When you want your own records only, ask about one object instead, for example "my opportunities changed this week". That runs a normal query rather than a digest; see Ask Salesforce questions in plain English.
Step 2: summarize Salesforce account activity on one record
The digest tells you where to look. Next, open the account or opportunity that changed and ask about it directly.
On a record page, the Sales Agent works with record context: the banner shows ⬤ IN CONTEXT, and your chat questions are about the record you are viewing. You can ask "summarise the last activities on this account" or "who is the decision maker here?" without naming the record.
Record context includes the fields your admin enabled for the object and, depending on the setup, recent activities (tasks, events and Chatter posts) and related records, up to 10 of each. See Work with record context.
Step 3: AI next steps in Salesforce, turned into tasks
Knowing what happened is half the job; the other half is deciding what to do. Click ▶ Next Steps in the actions bar on an Account, Lead, Contact or Opportunity. The agent reads the record and its recent activity and usually returns five to eight steps, most important first. Each step has:
- The action, such as sending a revised proposal to a named contact.
- Why: the evidence from the record, for example a date, an open question or an overdue promise.
- TIMING: today, this week, next week and so on.
Click + Task on any step and AI Engine creates a normal Salesforce task: the action as the subject, the reason as the description, assigned to you, linked to the record, with a due date based on the timing. Nothing is created until you click. See Get next steps and create tasks.
When you take over accounts, the "why" line points to the evidence your colleague left in the record, such as open promises.
Step 4: context from outside the CRM
Salesforce shows what your team did, not what happened at the customer while you were away. Two actions search the internet for the company on the current record, and they work best on Accounts and Leads:
- ⊕ Web Check returns a structured card: company verification, business summary, products and services, and red flags such as a domain that does not match or signs the company is no longer active.
- ◎ Company News shows up to six recent news cards, newest first, each with date, publisher, headline, a short summary and an AI INSIGHT line on why it matters to you as the seller.
Results come from public sources, so check anything important on the company's own website. If your org uses Azure OpenAI, web research goes to OpenAI through a separate Named Credential named OpenAI, which your admin sets up. See Web Check and Company News.
If a meeting is already in the diary, AI meeting prep builds a one-page brief from the same record.
Taking over a colleague's accounts
A handover is the hardest kind of catching up. A practical order:
- Ask for a digest over a longer period, such as "what changed in the last 30 days?", to see which records are moving.
- Open each key account and ask the chat to summarise recent activities.
- Run ▶ Next Steps and create tasks only for the steps you agree with.
- Run ◎ Company News on the accounts you will call first.
The quality of every answer depends on what is logged in Salesforce. When a record has little history, Next Steps suggests re-engagement rather than specific actions.
Permissions and data
The Sales Agent reads data with your own Salesforce permissions, and only objects and fields your admin enabled are used. Personal data can be masked before anything is sent to the AI provider. AI Engine does not store the full text of prompts and answers; the activity log keeps usage metadata, plus a short error message when a call fails.
Summary
- Ask "what happened this week?" for an Activity Digest of new and changed records across up to six objects.
- On a record, ask the chat to summarise recent activity using record context.
- ▶ Next Steps proposes prioritised actions with reasons and timing, and + Task turns any of them into a Salesforce task.
- ⊕ Web Check and ◎ Company News add public context from the web.
