Create PDF documents

Create a PDF from a chat request or from one of your admin's templates, then download it, save it to Files or email it.

The Sales Agent can turn Salesforce data into a PDF document: a one-pager about an account, a list of open opportunities, or a document built from a template your admin designed. These PDFs share your company's look, set by your admin.

Ask for a PDF in the chat#

Type a request that mentions a PDF, for example:

  • "Make a PDF with my open opportunities"
  • "Create a one-pager about this account"

The agent collects the data, writes the text and shows a PDF card in the chat. While it works, the card shows Generating PDF...; when it is done, it shows PDF ready.

If you ask for a "report" without saying how you want it, the agent repeats what you asked for under Report: and asks How would you like it? Choose:

  • πŸ’¬ Show in chat to see the result in the chat as a chart.
  • πŸ“„ PDF document to create a PDF.

Create a PDF from a template#

Your admin can prepare PDF templates for an object, for example an account overview or a quote summary.

  1. Open a record with the Sales Agent on the page or in the utility bar. If active templates exist for its object, the Sales Agent's actions bar shows πŸ“„ PDF.
  2. Click πŸ“„ PDF and pick a template from the PDF Templates list.
  3. A card appears with the template's sections under Select sections to include. Untick any section you do not need.
  4. Click ⚑ Generate PDF. The card shows Loading data..., then Generating PDF..., then PDF ready.

The template runs against the current record. Depending on how your admin built it, a template can contain AI-written paragraphs, tables of related records, the record's field values and fixed text such as a disclaimer.

Download, save or email the PDF#

When the PDF is ready, the card has three buttons:

Button What it does
⬇ Download Saves a copy of the PDF to Salesforce Files, then downloads that file to your computer.
πŸ’Ύ Save Saves the PDF to Salesforce Files. The button changes to βœ“ Saved and the card shows PDF saved to Files βœ“.
βœ‰ Send Email Saves the PDF to Files (unless you already clicked πŸ’Ύ Save), then opens the βœ‰ Send Email window with the PDF attached. See Draft and send an email.

Files are linked to the record you have open. Without an open record, they are saved to your own Files only. ⬇ Download always stores a new copy, so clicking both ⬇ Download and πŸ’Ύ Save leaves two copies of the same PDF in Files.

Look and feel#

Colours, logo, company name, font, font size, page orientation, section style, footer text and page numbers come from your admin's PDF settings, so chat and template PDFs have the same style. PDFs are A4. See PDF settings.

The πŸ“… Meet Prep brief has its own ⬇ Download PDF button and its own fixed layout, which does not use the PDF settings. See Prepare for a meeting.

Good to know#

  • PDFs are created in your browser. The data in them is read with your own Salesforce access, so they include only records and fields you can see.
  • PDFs use a standard font set that covers Western European characters. Many accented letters are written without accents, for example "Δ…" as "a", "Ε‚" as "l", "Γ©" as "e" and "ΓΌ" as "ue". Characters from other alphabets, such as Cyrillic or Greek, are left out.
  • A table in a PDF shows up to three columns, with name, subject, stage, amount, close date and similar fields chosen first. Long values are cut to fit the column.

Troubleshooting#

  • The πŸ“„ PDF button is missing: there are no active templates for this object. Ask your admin. See PDF templates.
  • A template you expect is not in the list: it is inactive or made for a different object.
  • Nothing happens when you click ⬇ Download or πŸ’Ύ Save: the PDF could not be saved to Salesforce Files, for example because you are not allowed to create files. Ask your admin to check your access to Salesforce Files.
  • The card shows "PDF generation failed" or "Failed:": try again.
