Draft and send an email

Let the AI write a personalised outreach email from the record's history, edit it and send it from Salesforce.

✉ Draft Email writes a short, personalised email based on the record and its recent activity. You review and edit it, then send it from Salesforce without leaving the page.

Draft an email#

  1. Open a Lead, Contact, Opportunity or Account page that has the Sales Agent.
  2. In the actions bar, click ✉ Draft Email.

The draft appears in the chat with a subject and a body. With the built-in instructions (your admin can change them), the AI:

  • Builds on the most recent interaction on the record, such as a meeting, a call or an open question.
  • Uses the tone and value proposition from your company's playbook, set by your admin.
  • Keeps the body short, roughly 80 to 140 words, and ends with a clear next step and two suggested times to meet.
  • Only uses facts that are in the record. It is told not to invent numbers, dates or promises.

The draft is written in the language chosen in the language selector. See Languages.

Send the email#

  1. Under the draft, click ✉ Send Email. The ✉ Send Email window opens with the subject and message filled in.
  2. Check the recipients:
    • TO: on a Lead or Contact, the record's email address is filled in. Otherwise, type at least two letters of a name or an email address and pick a contact, lead or user from the list, or type an address. TO takes one address; put anyone else in CC.
    • CC and BCC: search the same way, or type a full address and press Enter. Each recipient appears as a label; click × to remove one.
  3. Edit the SUBJECT and MESSAGE as needed.
  4. Click ✉ Send. When the message is sent, you see ✓ Email sent successfully!

The email is sent through Salesforce as plain text, with your user as the sender.

Where the email is logged#

Record you send from Logged as an activity?
Lead or Contact with an email address Yes, on that Lead or Contact, whichever address you send to
Lead or Contact without an email address No. The email is sent but not logged, and a copy is also sent to you
Account, Opportunity or other record No. The email is sent, but not logged on the record

Attach a PDF#

If you created a PDF in the chat, click ✉ Send Email on the PDF card instead. The PDF is saved to Salesforce Files and attached to the email; the window shows it under ATTACHMENT. Click ✕ next to it to remove it. See PDF documents.

Other ways to start an email#

  • ✉ Analyze Email suggests a reply to an email you received. Click ✉ Open in Email to send it. See Analyze an email.
  • The AI Score card on Lead and Opportunity pages has a ✉ Draft Email button that shows a draft inside the card, always in English. The card has no send button: to send an email, use ✉ Draft Email in the Sales Agent.

Good to know#

  • Nothing is sent until you click ✉ Send.
  • Read the draft before sending. The AI can misread the record history.
  • Emails count toward your org's daily Salesforce email limit.

Troubleshooting#

  • "Recipient email is required.": the TO field is empty. Add an address.
  • The draft is generic: the record has few activities or little detail. The AI only uses data that exists on the record.
  • The email is not sent: the window shows the error from Salesforce. Your org's daily email limit may be reached, or your Salesforce email settings do not allow sending. Ask your admin.
Still stuck? Ask AI, or email contact@cloudconnected.pl with the exact error message, the page or action you used and roughly when it happened.
