Prepare for a meeting with Meet Prep

Build a one-page meeting brief from the record, its contacts, activities and related records, optionally with recent company news.

πŸ“… Meet Prep builds a one-page Meeting Brief for an upcoming meeting: objective, talking points, risks, a proposed agenda and the people involved. It saves you from clicking through related lists and activity history before a call.

Before you start#

  • The Sales Agent must be on the record page or in the utility bar, and your admin must have enabled the record's object for AI Engine. If the Sales Agent shows Object not enabled for AI Agent, the actions bar is not available; ask your admin. See Agent Objects.
  • You need the AI_Engine_User permission set. The AI_Engine_Admin permission set alone is not enough.

Create a brief#

  1. Open the record you are meeting about, for example an Account, Opportunity, Lead or Contact.
  2. In the Sales Agent's actions bar, click πŸ“… Meet Prep.
  3. Wait while the brief is prepared. The Sales Agent shows its progress messages until the brief is ready.

The brief appears in the chat as a Meeting Brief card. The name at the top is the record's name: the company name on an Account, the person's name on a Lead or Contact, and the opportunity name on an Opportunity.

What the brief contains#

Section Content
🎯 Meeting Objective What the meeting should achieve
🏒 Company Snapshot A short description of the company and the relationship
πŸ‘₯ Key Contacts On an Account, up to five of its most recently updated contacts. On an Opportunity, up to five contact roles
🌐 Recent News Recent news found by a web search for the name at the top of the brief. Only if your admin turned on web search for Meet Prep. Works best on Accounts, where that name is the company name
πŸ’Ό Open Opportunities On an Account, up to five open opportunities, the soonest close date first
πŸ”— Related Records Records from the related objects your admin chose for Meet Prep and set to show as a list
πŸ’¬ Talking Points Topics to raise, linked to the customer's needs
⚠️ Risks & Objections What could go wrong and what the customer may push back on
πŸ“‹ Proposed Agenda A suggested running order for the meeting
πŸ“Š Recent Activity A summary of recent tasks and events
πŸ’› Personal Notes Personal details mentioned in notes and activities, such as a holiday or a hobby, with a suggestion for building rapport

Key Contacts, Recent News, Open Opportunities, Related Records, Recent Activity and Personal Notes are left out when they have no content. Personal Notes only appear when such details exist in the record's data, and the AI is told to leave them out if your company's playbook restricts personal topics.

Download the brief as a PDF#

Click ⬇ Download PDF on the card. The PDF is saved to Salesforce Files on the record, as Meeting_Brief_<record name>.pdf (characters other than letters, digits, spaces, hyphens and underscores are replaced with _), and downloaded to your computer. The brief PDF has its own fixed layout; it does not use your admin's PDF settings.

Good to know#

  • The brief uses the record, your company's playbook, up to six recent tasks and four recent events whose Related To field is the record, and the related objects your admin selected for Meet Prep. The more activity is logged against the record, the more specific the brief.
  • Key contacts are added only on Accounts and Opportunities; open opportunities only on Accounts.
  • On an Opportunity, the brief also takes the opportunity's stage into account.
  • With web search turned on, Meet Prep takes longer, because it runs a web search before writing the brief.
  • The brief is written in the language chosen in the language selector. See Languages.
  • Check facts before the meeting, especially news items and personal notes.
  • PDFs use a standard font set. Some accented letters are written without accents, for example "Δ…" as "a" and "ΓΌ" as "ue". See PDF documents.

Troubleshooting#

  • The brief is thin on a record with a lot of history: the related objects are not set up for Meet Prep, or the activities are not linked to this record in their Related To field (for example, they are logged only against a person's Name, or on another record). Ask your admin to add the related objects. See Child objects and Meeting Prep.
  • "Meeting prep failed": the AI request did not complete. Try again. If it keeps failing, your admin can see the details on the AI Activity Log record for that run.
  • No Recent News section: web search for Meet Prep is off, no recent news was found, or the web search did not complete.
