Tables, cards and charts

How the Sales Agent shows results, how to open records, choose columns, load all rows and work with charts.

The Sales Agent picks a format for each answer based on what the query returns: a few records as cards, longer lists as a table, grouped numbers as a chart, and a single figure as a number tile. This article explains how to work with each format.

Cards#

When a question returns one to five records, they appear as cards. Each card shows the record name and up to five fields, starting with the owner when the answer includes it.

  • Click a card, or Show more fields ▾, to see the rest of the fields. Click Show less ▴ to collapse it.
  • Click Open ↗ to open the record in a new browser tab.

Cards do not have the ⚙ Columns, CSV and Excel buttons. Those appear only when the answer is shown as a table.

Tables#

Longer lists appear as a table. The line above the table tells you how much you are seeing, for example "200 of 850 shown".

  • Click a row to expand it and see more fields for that record.
  • Click ↗ Open at the end of a row to open the record in a new browser tab. Related records, such as the account on an opportunity, are shown by name.
  • Click ⚙ Columns to choose which fields the table shows. Tick or untick fields, use ▲ and ▼ to change the order, then click Apply. The list only offers the record name and the fields your admin enabled for AI Engine that you can see, plus fields of related records whose object is also enabled.
  • Click CSV or Excel to download the results. See Export results.

Show all#

A list answer normally shows the first 200 matching records. When more records match, a Show all button appears, with the total when it is known (for example Show all 850). Click it to load up to 2,000 records into the table. When more than 2,000 records are known to match, Show all is not offered; use CSV or Excel instead, which export up to 10,000 records.

A single number#

When a query returns a single total, for example "total amount of my open opportunities", the figure can appear as a large number with a label under the written answer.

Charts#

When a question returns grouped numbers, such as a count or a sum per stage, owner or month, the agent draws a chart. The numbers also appear in a table below it.

The chart type is chosen from the data:

Data Chart
One grouping, up to 8 groups Vertical bars
One grouping, more than 8 groups Horizontal bars
Values over time, for example per month, quarter or year Line
Percentages or shares of a total Doughnut
Two groupings, for example stage per owner Stacked bars

To ask for a specific type, say so in the question:

  • "pie", "donut" or "doughnut" for a doughnut chart
  • "bar" or "column" for bars
  • "line", "trend" or "over time" for a line chart
  • "horizontal" or "funnel" for horizontal bars

For example: "pie chart of leads by source" or "opportunities by stage as a horizontal chart".

These words work for charts with one grouping. A stacked chart only reacts to "horizontal" or "funnel", and a chart over time can be switched to bars with "bar" or "column".

A chart shows up to 12 bars or slices. Smaller groups are combined into Other. Stacked charts show the first 12 categories; series beyond the first 8 are combined into Other.

Drill down and download#

  • When the hint 💡 Click a bar or slice to see the records behind it appears under a chart, click a bar or slice to list the records it represents. You can also click a row in the table under the chart. This sends a new question to the chat.
  • Click ⬇ PNG to download the chart as an image.
  • Click ⬇ CSV to download the chart's data.

Good to know#

  • Grouped answers normally show up to 200 groups. If there are more, the answer says so; narrow the question, for example by adding a time frame.

Troubleshooting#

  • A column you expect is missing: the field is not enabled for AI Engine on that object, or you do not have access to it. Ask your admin. See Agent Objects.
  • You expected a chart but got a table: charts are drawn for grouped numbers. Ask for a total or count per group, for example "number of open opportunities per stage".
  • No drill-down on a chart: drill-down is not available for every chart, for example charts over time.
